New WMS system in Havířov: Sports venues digitalize orders and streamline inventory management

We need to replace paper records and decentralized ordering with an efficient warehouse system – this was the task of the Administration of Sports and Recreational Facilities in Havířov, which approached SALSO with a request to implement SALSOWMS. The organisation, which manages over 15 sports centres, has an annual turnover of CZK 140 million. The implementation of the new system will take SALSO approximately 3 months.
Default state
Before the introduction of the new system, the situation in Havířov was very complicated. As Ivan Sluštík, director of SALSO, describes, each sports venue ordered all materials and services separately:
“There was no overview of the actual consumption, the warehouse only received and processed invoices as they came in. Records of items purchased were kept backwards on paper cards.”
Such a process was, of course, not only inefficient, but also time-consuming and full of errors. Each sports venue had discretion in the orders, which led to a lot of confusion. Therefore, the Sports and Recreation Facilities Administration Havířov (SSRZ Havířov) decided to centralize the orders and simplify everything.
WMS makes processes faster, clearer and eliminates errors
The introduction of SALSOWMS brings a fundamental change in the approach to materials management and ordering. The WMS(Warehouse Management System) provides centralized materials management, automation of purchasing processes and integration with the economic structure of the organization.
“Each centre is connected by a web client, which does not require installation and allows to monitor the requests and delivery history,” explains Ivan Sluštík.
The system will enable efficient order management and reduce the number of manual tasks. This will contribute to greater clarity and minimise errors. The web-based platform will ensure easy access to data, which means faster and more efficient communication between the centres and the central warehouse.
The implementation of SALSOWMS brings several advantages:
- Centralize orders – all requests will be managed from one location, eliminating duplication and inefficiencies.
- Process automation – the system automatically generates purchase orders, reducing the administrative burden and minimizing human error.
- Standardization of items – sports venues will only order items that meet their specific needs (for example, a pool will not order hockey sticks).
- Integration with economic software – automatic posting of all stock movements simplifies accounting processes.
- Transparency – the system allows easy control and monitoring of material consumption and stock levels.
Technical implementation details
Before implementation, it was necessary to create a unified data base and standardize the coding of items so that the system could communicate effectively with the suppliers of SSRZ Havířov. Ivan Sluštík says:
“We had to address the methodology for uniform coding of items to make everything work without errors.”
The system will run on a dedicated virtual server, which guarantees secure access to data. The web part does not require installation on local computers, this will simplify the work and ensure flexibility for all centres.
Long-term benefits
By implementing SALSOWMS, SSRZ Havířov will gain not only immediate simplification of operations, but also long-term benefits in the area of cost control and planning.
“Above all, it will save time, which will also translate into financial savings,” says the SALSO director.
Centralization, automation and better system transparency will reduce errors, speed up processes and improve inventory control.
Everything should be ready by the beginning of March 2025. The implementation will also include training for employees.
“The system will not allow ordering items that have not been tendered, and this will require a change in the approach of the staff,” concludes Ivan Sluštík, adding that the project brings not only technological improvements, but also a change in the approach to ordering and inventory management.
